Privacy Policy
What we collect, why we collect it, who else sees it and how to get it deleted. Short version: we run a static catalog with no accounts, no tracking and no advertising cookies, where even the quote form only writes an email in your own mail app — most of the time we hold nothing about you at all.

1. Who is responsible for your data
LING GROUP LLC publishes custom-folding-fans.com and decides how personal information collected through it is used. In privacy law we are the "business" (United States) or the "controller" (EEA and UK).

2. What we collect
When you contact us
Every quote button on this site — including the quote form on the home page — works the same way: it opens your own email program with a message pre-filled from what you typed. No data is submitted to us through the site itself; nothing leaves your device until you press send in your own email app. If you choose to send that email — or call us — we receive what you decide to send, typically: your name, your email address and phone number, your company, the quantity, model, artwork and deadline you have in mind, your delivery country, and any logo or artwork file you attach.
If your inquiry turns into an order, we then collect what is needed to fulfill and invoice it: delivery address, billing details, tax registration number where one applies, and the record of your order. We do not take payment on this site. There is no checkout, no card form and no payment processor connected to custom-folding-fans.com, so we never receive your card details through it.
When you simply browse
- Server logs. Our host records the technical data every web server records: IP address, date and time, the page requested, browser and operating system, and the referring page. It is used to serve the site, keep it available and defend it against attack and abuse.
- Web fonts. Page typefaces are loaded from Google Fonts. Your browser therefore connects to Google's servers, and your IP address and user agent are visible to Google during that request. Google states that Fonts requests are not used for advertising profiles and set no cookies.
- Product photography. Some catalog photographs are delivered from our manufacturing partners' image servers, so your browser connects to those servers and your IP address is visible to them when a page loads.
- Browser storage. The price configurator saves the options you pick — quantity, colors, finishing — in your browser's local storage so your configuration survives a page reload. That data stays on your device, is never transmitted to us, and disappears when you clear your browsing data.
We do not use analytics, advertising pixels, session recording, fingerprinting or social media trackers, and we do not buy personal information from data brokers.
3. Why we use it
- To answer your inquiry and prepare a quote, normally within 2 business hours
- To produce your digital proof and, if you order, to manufacture, ship and invoice
- To provide after-sales support and handle any claim
- To keep the accounting, tax and customs records the law requires us to keep
- To keep the site secure, available and free of abuse
We do not use your information to build advertising profiles, and we do not send marketing email to people who have only asked us for a quote unless they have asked for it.
Legal bases (visitors in the EEA and the UK)
Where the GDPR or the UK GDPR applies to you, we rely on: performance of a contract or pre-contractual steps taken at your request (Article 6(1)(b)) for quotes and orders; our legitimate interest in running and securing a business-to-business catalog (Article 6(1)(f)) for server logs and site security; compliance with a legal obligation (Article 6(1)(c)) for accounting and tax records; and your consent (Article 6(1)(a)) where we ask for it, which you may withdraw at any time.
4. Who else sees it
We share personal information only with the service providers we need to run the business, and only with what they need to do the job:
- Cloudflare, Inc. — hosting, content delivery and protection against attack (United States)
- Google LLC — delivery of the web fonts used on the site (United States)
- Our email provider — the mailbox that receives and stores your correspondence with us
- Our manufacturing partners — the technical details of your order, and your artwork, so that your fans can be produced. They may be located outside the United States, principally in China.
- Shipping carriers and customs brokers — the name, address and contact details needed to deliver and clear your shipment
- Our accountants and, where required, our legal advisers
We also disclose information where the law compels us to, or to establish or defend legal claims. If the business is ever sold or reorganized, information may transfer to the acquirer, which would remain bound by this policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising — in the sense those terms are given by the California Consumer Privacy Act and comparable state laws. We have never done so, including for anyone under 16.
5. International transfers
We are a United States company and our providers are principally in the United States. Our manufacturing partners are principally in China. If you contact us from the EEA or the UK, your information will therefore be transferred outside your country, and we rely on the European Commission's Standard Contractual Clauses or the UK Addendum, together with the contractual safeguards we hold with our partners, to protect it.
6. How long we keep it
- Inquiries that do not become orders — up to 24 months after our last exchange, then deleted
- Customer records and correspondence — for the length of the business relationship and 5 years after it ends
- Accounting, tax and customs records — 7 years, as United States record-keeping practice requires
- Artwork files — kept while your order is live and for the reorder window, then deleted on request at any time
- Server logs — a rolling short retention set by our host, for security purposes
7. How we protect it
The site is served entirely over HTTPS. Access to mailboxes and order records is limited to the people who need it, protected by strong unique passwords and two-factor authentication, and our providers are bound by confidentiality terms. No system is perfectly secure, but we keep what we hold to the minimum — which is the most effective protection there is.
8. Your rights
If you are in the United States
Depending on your state — California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon and a growing number of others — you may have the right to:
- Know what personal information we hold about you and how we use it
- Receive a copy of it, in a portable format
- Correct information that is inaccurate
- Have it deleted
- Opt out of sale, sharing for targeted advertising and profiling — which we do not do
- Not be discriminated against for exercising any of these rights
California residents may also designate an authorized agent to make a request for them.
If you are in the EEA or the UK
You have the rights of access, rectification, erasure, restriction of processing, data portability and objection, and the right to withdraw consent at any time without affecting the lawfulness of what was done before.
How to exercise them
Write to [email protected] or to the postal address above. We will reply within 30 days, or 45 days where the law allows an extension and the request is complex, in which case we will tell you before the first period is up. We may need to verify who you are before acting, and we will ask for no more information than that check requires. Exercising these rights is free.
9. Complaints
If you are not satisfied with our answer, please tell us first — we would rather fix it. You may also complain to a regulator: in the United States, your state attorney general (California residents may contact the California Privacy Protection Agency); in the EEA, your national data protection authority; in the UK, the Information Commissioner's Office (ico.org.uk).
10. Cookies and browser storage
custom-folding-fans.com sets no advertising cookies, no analytics cookies and no third-party tracking cookies. There is no consent banner because there is nothing to consent to.
The only data stored on your device is the local-storage entry described in section 2, which keeps your configurator selections on your own machine. Our host may set a strictly necessary cookie to detect and block malicious traffic. You can clear either at any time from your browser settings; clearing local storage simply means the configurator forgets your last selection.
11. Children
This site sells to businesses, event organizers and private buyers organizing an event. It is not directed at children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has sent us information, write to us and we will delete it.
12. Changes to this policy
We may update this policy to reflect changes in the law or in how we work. The date at the top always shows the current version, and material changes will be announced on this page. Please look at it again from time to time.
